Users

Users are the primary way of interacting with GS.

Settings

Field Description
Name The name of the User. This is not unique.
Username The unique name that the User will use to log in to the site. Once this is set, it cannot be changed.
Email The email of the User. It is optional unless the User belongs has the Edit permission for Users. Users without an email cannot receive email Real-Time Alerts.
Role The Role of the User. If the User is the last Admin, attempting to update the Role will fail.
Groups The Groups this User belongs to. A User may be in multiple groups.
Language The language of the User. If the language is not set, GS will be displayed in the language of their web browser.
Locations Locations that the User has access to. If the Role has the Access to all Locations permission, this field cannot be set. This field will not appear if only one Location exists.
Phone Number The phone number of the User. Users without a phone number cannot receive SMS Real-Time Alerts.
4-Digit PIN The secret PIN that Users can enter to validate their identity. Used for signing off Task Tests.
Traceability The Contextual Traceability for data entered by this User.

Resetting Passwords

Users with the Reset Password permission may reset the password of other Users, except for Users in the Admin Role. If an Admin has forgotten their password, they must use the Forgot Password link on the login page. Users may not reset their own password.

When a User's password is reset, they will receive an email containing a new, temporary password which they can use to log in. If they do not have an email set, the password will be displayed to the User who performed the password reset.

Disabling Users

It is recommended that Users who are no longer allowed to access GS be disabled. This will prevent the User from logging in to GS and will hide them in the list of Users. Disabled Users can be re-enabled to restore access without resetting their password.

Disabling a User removes them from Alerts and Inspection Assignments. Re-enabling the User will not add them back to Alerts or Inspection Assignments.

Disabling and re-enabling a User can be done on either the Edit or View page of the User using the Disable button. Disabled Users can be viewed by checking the Show Disabled box on the User list page.

If an User has not been used to create any entities or submit data, they can instead be deleted.

Contextual Traceability

Contextual Traceability can be set up to automatically tag data that is submitted by a User. For more details, see Collecting Traceability.
