Schedules
A Schedule is used to periodically require Inspections to be run. Schedules can run on a static schedule or be triggered dynamically via the API or Scripting.
Schedules generate Accountability Data.
Settings

| Location | The Location of the Schedule. Accountability Records created for this Schedule will only be shown to Users who belong to this location. |
| Early Access Window (Minutes) | Accountability Records created by this Schedule will be available for users to run this many minutes before the Scheduled Date of the Accountability Record. |
| Grace Period (Minutes) | Accountability Records created by this Schedule will be marked Late if the Inspection triggered by the Record has not been Completed within this many minutes of the Scheduled Date. |
| Enabled | Whether this Schedule will appear in lists and automatically create Accountability Records. |
| Show Notification | Whether Accountability Records created by this Schedule should trigger a notification for logged in Users when they become available to run. |
| Type | Whether this Schedule creates Accountability Records on a Recurring basis, or is manually triggered from Scripts. |
| Schedule | (Recurring Only) How frequently this Schedule should be triggered. |
| Start Date | (Recurring Only) When this Schedule should be triggered for the first time. |
| Interval (Minutes) | (Recurring Only) How many minutes apart the Scheduled Date of the created Accountability records should be. |
| End After Occurrences | (Recurring Only) The total number of Accountability Records which should be created when this Schedule is triggered. |
| Inspections | (Recurring Only) How the triggered Inspections will be pre-populated, and used to determine which Users will see the created Accountability Records. See Inspections. |
Inspections
Inspections determine:
- Which Users will see the created Accountability Records on the My Schedules page.
- Which Part, Process, and Traceability will be applied to the triggered Inspection.

Relation To Accountability
When a Schedule is triggered, an Accountability Record is created for each recurrence and linked Inspection. These Accountability Records are sometimes referred to as "Scheduled Inspections" and appear on the My Schedules page.
For example, if a Schedule is created with the following settings:

Every Monday at 8:00 AM, the following Accountability Records are automatically generated with the default Upcoming status:

When an Accountability Record is created, it is stored with the Part, Process, and Traceability set on the linked Inspection that was used to trigger it. When an Inspection is completed, the Part, Process, and Traceability are updated to the values that are set on the Inspection. These values may also be updated with Scripting.
My Schedules
The My Schedules page shows all active Accountability Records for the current User. This page automatically refreshes every minute to display the latest status updates.
Colors
The My Schedules page uses the following colors to help Users quickly distinguish different statuses:

| Blue | The Accountability Record is Upcoming or In Progress, and available to run. |
| Yellow | The Accountability Record is Upcoming or In Progress, and the current time is within the Grace Period. |
| Red | The Accountability Record is Upcoming or In Progress and is Late. |
| Green | The Accountability Record is Complete. |
Shown to User
An Accountability Record will appear for a User when all of the following conditions are met:
Location
The User is assigned to the same Location as the Schedule which generated the Accountability Record.
Status
The status of the Accountability Record is Upcoming, In Progress, or Complete.
Tip
Accountability Records with the Complete status will only be shown for a limited time after they have been completed. This duration is controlled by the Show Completed Schedules (Minutes) Global Setting.
Contextual Traceability
The Traceability of the linked Inspection which generated the Accountability Record matches the Contextual Traceability of the User and Workstation. Traceability which are set on the linked Inspection but not on the User/Workstation are ignored.

Running Inspections
From the My Schedules page, Users can run the Inspection associated with an Accountability Record.
- Running an Inspection from the My Schedules page will automatically mark the Accountability Record as In Progress.
- Completing the Inspection will automatically mark the Accountability Record as Complete.
Accountability Records will be available to run in the following conditions:
- The Status is Upcoming and the current time is past the Accountability Record's Scheduled Date minus the Early Access Window.
- The Status is In Progress and the current User is the one who initially started the Inspection.
When an Inspection is run from the My Schedules page, the Traceability, Part, and Process set on the Inspection-Schedule link used to create the Accountability Record are automatically applied to the Inspection. Any Part, Process, or Traceability Tests in the Inspection Data panel will automatically be updated to the supplied values.
All data records submitted during the Inspection will be linked back to the Accountability Record which triggered the Inspection. These linked records can be viewed from the Edit Data overlay.
Upon completing an Inspection which was triggered from the My Schedules page, the Accountability Record used to trigger the Inspection will be updated with the Inspection's final Part, Process, and Traceability.
Notes
Users can add or updates notes for Accountability Records from the My Schedules page. The Note button will be enabled under the following conditions:
- The Status is Upcoming and the current time is past the Accountability Record's Scheduled Date minus the Early Access Window.
- The Status is In Progress and the current User is the one who initially started the Inspection.
- The Status is Complete and the current User is the one who completed the Inspection.
When adding a note, Users may also change the Accountability Record's status to Incomplete. This will cause it to stop appearing in the My Schedules page.
Late
If an Inspection has not been completed before the Accountability Record's Scheduled Date plus Grace Period, it will be marked as Late. This will be shown in the Status columns.
Incomplete
If an Inspection has not been completed before the Accountability Record's Scheduled Date plus Grace Period plus Inspection Schedule Grace Period, it will be marked as Incomplete. Incomplete Accountability Records are not shown on the My Schedules page.
Notifications
Once every minute, logged-in Users will automatically check for upcoming Accountability Records. If there are any Accountability Records which would be shown to this user and have not been seen by anyone, a notification will be shown in the top-right corner. Clicking this notification opens the My Schedules page, showing all currently available Accountability Records.
Warning
If a User is assigned to a Role with the Create Schedule or Update Schedule permission, that User will not receive notifications.
